The secretary will provide administrative and logistical support for the Disney Live Entertainment Theatrical Design, and Technical Production.

This is a full-time hourly role that will report to the Design Resource Manager.

What You Will Do

  • Support special projects
  • Manage calendars and coordinate travel for multiple executives
  • Process expense reports
  • Organize and maintain documentation
  • Prepare meeting notes, documents, and presentations
  • Oversee video conferencing and presentation technology
  • Utilize Coupa and procurement services
  • Maintain financial reports, provide IT support, and oversee office supplies
  • Liaise professionally with all levels of The Walt Disney Company and external partners

Required Qualifications & Skills

  • 1+ years of experience in administrative roles
  • Proven knowledge and expertise in purchasing applications, Concur Travel & Expense, and Microsoft Office Suite (Outlook, Word, Excel, Forms, PowerPoint, Teams)
  • Quick adaptability to new software and technologies
  • Strong interpersonal, collaboration, partnering, and networking capabilities
  • Excellent verbal and written communication skills, including meticulous proofreading
  • Advanced command of English grammar with the ability to draft clear correspondence from notes, meetings, and reports
  • Exceptional organizational and time management skills, with acute attention to detail and reliable follow-through
  • Well-developed problem-solving, decision-making, and process improvement abilities
  • Capacity to thrive in dynamic, fast-paced environments and reorganize priorities as needed
  • Demonstrated ability to work well within the Disney culture and the Five Keys expectations
  • Experience with basic project management and event planning coordination
  • Demonstrated ability to work independently with minimal supervision
  • Commitment to upholding confidentiality involving guests, cast members, and both external and internal partners

Preferred Qualifications

  • Minimum 1-year Disney Live Entertainment experience
  • Demonstrated strong analytical skills
  • Proficiency in Coupa, EiSS, Access, and Concur
  • Knowledge of Disney resources and Disney Live Entertainment functional teams
  • Knowledge of Entertainment Operations disciplines and responsibilities

Required Education

  • College degree or equivalent work experience
